Planted Wellbeing is the trading name of Adrienne Hanson, a sole trader based in the United Kingdom.

This Privacy Policy explains how I collect, use, store and protect your personal information when you engage with Planted Wellbeing, including through yoga classes, workshops, massage, aromatherapy, bespoke product consultations and my website.

I collect personal information that you provide when you contact me, book a class or treatment, attend a workshop, complete a form or purchase a bespoke product.

Contact and booking information

  • Name and preferred name.

  • Telephone or mobile number.

  • Booking and attendance details.

  • Information about the classes, workshops or treatments you attend.

  • Messages and enquiries sent to me through my website, social media, email or other communication channels.

Health and wellbeing information

For yoga classes, workshops, massage, aromatherapy and bespoke product consultations, I may collect information about your health, injuries, allergies, sensitivities and other relevant circumstances.

This information helps me understand your needs, assess suitability for a service and provide appropriate care and modifications.

Health information is particularly sensitive personal data, and I take steps to protect it.

Emergency contact information

Where you provide it, I may collect the name and telephone number of an emergency contact for use in an emergency during a class, workshop or treatment.

Payment information

I collect information needed to record and reconcile payments.

Payments may be made through Stripe or by bank transfer. I do not receive or store your full card details when you pay through Stripe.

Communication preferences

I may collect your preferences for:

  • Class information and booking invitations.

  • Occasional newsletters and marketing emails.

  • Membership of a Planted Wellbeing WhatsApp group.

2. How I use your information

I use your personal information for the following purposes:

  • To process and manage bookings for yoga classes, workshops and treatments.

  • To provide massage, aromatherapy and bespoke product services.

  • To prepare and provide bespoke aromatherapy products following a consultation.

Health information

Health information is special category personal data under UK GDPR. I will only process it where I have an appropriate lawful basis and special category condition.

I use relevant health information to help provide yoga, massage, aromatherapy and other wellbeing services safely and appropriately.

I will not use health information for marketing purposes.


4. Health declarations and wellbeing information

When you complete a health declaration or provide health information, I use it to help me understand your needs and provide appropriate services.

For yoga classes, this may include considering whether movements or practices need to be modified.

For massage, aromatherapy and bespoke product consultations, this may include considering allergies, sensitivities, medication or other relevant information that you choose to share.

Please let me know if your health or circumstances change in a way that may affect your participation or treatment.

I do not provide medical diagnosis or medical treatment. If you have concerns about whether a service is suitable for you, please seek advice from an appropriate healthcare professional.


5. Google Forms and student information

I use Google Forms to collect information from students and clients, including:

  • Student information and health declarations.

  • Communication preferences.

  • Workshop registration information.

  • Other information relevant to providing my services.

Responses are stored within my Google account associated with Planted Wellbeing.

I may access responses through Google Forms and, where applicable, Google Sheets.

Google processes information in accordance with its own privacy terms and policies.

6. Momence bookings

I use Momence to manage bookings and attendance for classes and other services.

Information provided through Momence may include your name, contact details, booking information and attendance records.

I may also add bookings to Momence when you book directly with me.

Momence processes information in accordance with its own privacy policy and terms.

7. Email communication and marketing

Email is my main way of communicating with current students and clients.

I may send emails relating to:

Class administration

  • Booking confirmations and reminders.

  • Essential information about your booked class or workshop.

  • Changes to arrangements or cancellations.

  • Information about upcoming class blocks and booking invitations.

Marketing and newsletters

Where I have an appropriate lawful basis, I may send occasional emails about:

  • Planted Wellbeing yoga classes.

  • Workshops and mini retreats.

  • Massage and aromatherapy.

  • Bespoke aromatherapy products.

  • Seasonal offerings and wellbeing information.

I am moving from Mailchimp to Brevo for email marketing.

When using Brevo, I will use it to manage marketing contacts and send emails in accordance with applicable data protection and electronic marketing rules.

Marketing emails will include a way to unsubscribe. You can also contact me directly to change your preferences.

8. WhatsApp communication

I use one WhatsApp group as a secondary way of communicating with class students.

The group may be used for:

  • Class information and reminders.

  • Urgent class updates.

  • Cancellations or changes due to adverse weather.

  • Other occasional class-related messages.

Joining the WhatsApp group is optional.

If you join the group, your telephone number will be visible to other members of the group. Other members may also be able to see your WhatsApp profile name and photograph, depending on your WhatsApp privacy settings.

WhatsApp is operated by Meta. Your use of WhatsApp is also subject to WhatsApp’s own terms and privacy policy.

If you do not wish to join the WhatsApp group, essential class information will be communicated by email where appropriate.


9. Sharing your information

I do not sell personal information or contact lists.

I may share personal information where necessary to run Planted Wellbeing, provide services, comply with legal obligations or protect safety.

This may include sharing information with:

  • Booking and class management providers, such as Momence.

  • Email marketing providers, such as Brevo.

  • Payment providers, such as Stripe.

  • Accounting or banking services.

  • IT and website service providers.

  • Other teachers who may cover a class, where relevant and necessary.

  • Emergency services or other appropriate people where necessary to protect someone’s safety.

  • Legal, regulatory or insurance professionals where required or appropriate.

I will only share information that is necessary for the relevant purpose.

Where another organisation processes personal information on my behalf, I will take reasonable steps to ensure appropriate data protection arrangements are in place.


10. Storage and security

I am a UK-based sole trader and operate Planted Wellbeing in the United Kingdom.

Personal information may be stored electronically or in paper records, including within:

  • Google Forms and Google Sheets, where applicable.

  • Momence.

  • Brevo.

  • Stripe.

  • My email account.

  • My own business records.

I take reasonable steps to keep personal information secure and protect it against unauthorised access, loss, misuse or disclosure.

This includes using appropriate account security and limiting access to information where possible.

Some service providers may process information outside the UK. Where this applies, I will take steps required by applicable data protection law.


11. How long I keep your information

I only keep personal information for as long as necessary for the purpose for which it was collected, or for as long as I am required to keep it by law or for legitimate business purposes.

The following are my intended retention periods:

Enquiries

Information relating to enquiries from non-clients may be kept for up to one year after the enquiry has been dealt with, unless there is a reason to retain it for longer.

Student and client information

Health declarations, registration forms and relevant service records may be kept for at least seven years for insurance and business record purposes.

Attendance records

Attendance records may be kept for at least seven years for insurance and business record purposes.

Emails

Important business or client communications may be retained within my filing system.

Other emails may be deleted when no longer needed, generally within two years.

Payment and financial records

Payment and financial records may be kept for at least seven years to meet accounting and tax obligations.

Marketing information

Marketing contact information will be retained while there is a valid reason to keep it, such as an ongoing subscription or consent, and will be removed or suppressed when no longer needed or when you unsubscribe.

Retention periods may be reviewed and updated from time to time.
